Terms & Conditions

Effective Date: October 8, 2026

These Terms & Conditions (“Terms”) are an agreement between you and Rapid Vanlines LLC (“Rapid Vanlines,” “we,” “us,” or “our”), an interstate household goods carrier operating under USDOT 3894104 and MC 1432585. They apply whenever you use our website, request a quote, book a move, or use any of our moving, packing, or storage services.

1. Acceptance of Terms

By using this website, submitting a quote request, or booking a move, you confirm that you have read these Terms, understand them, and agree to be bound by them. If you are booking on behalf of another person or company, you confirm that you are authorized to accept these Terms for them. If you do not agree with any part of these Terms, please do not use our website or services.

2. Our Services

We provide interstate and long-distance household goods moving services, which may include:

Some services depend on access at the pickup or delivery location, the items being moved, and applicable regulations. We may decline a move, or any part of a move, where we cannot perform it safely or legally.

3. Quotes, Estimates, and Pricing

Prices shown through our website are generated from the information you provide, including the ZIP codes, truck size, inventory, and services you select. Unless we issue a signed, binding written agreement, quotes and estimates are good-faith approximations and are not binding until a move is booked and confirmed by us.

Final charges may differ from an estimate where one or more of the following apply:

Our flat-rate pricing applies to a full truck within the distance we quote. Shipments over 1,800 cubic feet, moves requiring more than one truck, and moves with unusual access or routing requirements are quoted individually by a coordinator.

Assembly and disassembly is included with your move for the items our crews disassemble, and is not billed as a separate service.

4. Inventory, Photos, and Information You Provide

When you upload photos or use our camera feature, our system reviews the images to produce an inventory list and estimate the volume of your shipment. That inventory is an assistive estimate, not a certified weigh ticket or a legal declaration of contents. You are responsible for checking the inventory list and telling us about anything missing or incorrect before your move is confirmed.

You agree that the information you provide is accurate and complete. Charges, scheduling, and delivery dates are calculated from the information you give us, and changes to that information may change your price.

5. Packing Services

You may choose full packing, partial packing, or self-packing. Where we pack an item, we are responsible for how we pack it. Where you pack an item yourself, you are responsible for how it was packed, and damage to that item may not be covered in the same way as an item we packed.

Fragile, high-value, and one-of-a-kind items should be identified to us before packing so the correct handling and protection can be arranged.

6. Additional Services and Charges

Optional services such as bulky-item handling, stairs, elevator use, long carry, additional stops, and storage are added to your order when you select them or when our crew confirms they are needed on site.

Where a service is shown on our website as “quote required,” the price is confirmed by a coordinator before any work is scheduled.

7. Scheduling, Pickups, and Delivery

Pickup and delivery dates are confirmed in writing. A flexible window lets us deliver within the range of dates you select. A one-day window means we deliver on the specific date you choose.

Expedited and Guaranteed Delivery

Expedited delivery means delivery within the maximum number of business days that applies to your route distance, counted from the available delivery date. If we are unable to meet the delivery date we guaranteed under your contract, the expedited delivery fee you paid is refunded in full.

The refund promise applies to the expedited delivery fee only, and does not extend to other charges.

Delays Outside Our Control

We are not responsible for delays or additional costs caused by weather, traffic accidents, road closures, vehicle breakdowns beyond our reasonable control, port or border delays, government restrictions, access problems at either location, or circumstances caused by you, including a late or failed pickup.

8. Customer Responsibilities

You agree to:

If our crew arrives and cannot complete the work because access, preparation, or prohibited items were not as reported, you may be charged for the trip, waiting time, or rescheduling.

9. Prohibited and Hazardous Items

We will not transport items that are dangerous, illegal, or unsafe to move, including:

If prohibited items are loaded without telling us, you are responsible for any resulting costs, fines, clean-up, or damage, and we may refuse to transport those items.

10. Payment, Deposits, and Refunds

If payment is late or unpaid, we may hold the shipment, reschedule the work, or apply storage charges, and you are responsible for the additional costs that result.

11. Cancellations, Rescheduling, and Abandoned Property

You may cancel or reschedule. Where a cancellation fee, trip charge, or rescheduling charge applies, it is stated in your written agreement. Cancellations made very close to the pickup date, and shipments that are not collected after delivery, may result in additional charges, including storage.

Property left with us beyond the agreed storage period, or not collected after reasonable written notice, may be stored, moved, or disposed of, and you are responsible for all costs that follow.

12. Liability, Coverage, and Claims

Our liability for loss or damage to your household goods is limited to the coverage level you select and agree to in writing, and is governed by applicable federal regulation for interstate moves. Where you have not selected and paid for additional valuation or protection, released-value protection applies, which pays a limited amount per pound rather than the full value of the item.

To make a claim:

We are not liable for items you packed yourself, items you were asked to remove, or items you chose to transport yourself. Nothing in these Terms limits a liability that cannot lawfully be limited.

13. Website, Accounts, and Acceptable Use

You agree to use this website lawfully and not to interfere with it, attempt to access it by unauthorized means, submit false information, upload unlawful content, or use automated tools to scrape prices, quotes, or inventory data. Quote links and staff portal access are for authorized use only and must not be shared publicly.

14. Intellectual Property

The Rapid Vanlines name, logo, and the text, layout, pricing logic, and software on this website belong to us or our licensors and are protected by law. You may not copy, reuse, or republish them without our written permission.

15. Third-Party Links and Services

Our website may link to third-party websites and rely on third-party services, such as mapping and distance data or image analysis. We do not control them and are not responsible for their accuracy, availability, or content. Distances, drive times, and scanned inventory values are approximations.

16. Disclaimers

This website and its estimates are provided “as is.” We do not promise that any quote, distance, scanned inventory, delivery date, or page will be error-free or uninterrupted. We do not promise that any item will arrive in the same condition in which it was received, except as provided under the coverage you selected and applicable law.

17. Limitation of Liability

To the fullest extent permitted by law, Rapid Vanlines is not liable for indirect, incidental, special, or consequential losses, including lost time, lost business, spoiled goods, or additional lodging and travel costs, and our total liability arising from a move is limited to the amount you paid us for that move and the coverage limits you selected.

18. Indemnification

You agree to cover Rapid Vanlines and its crews against claims, fines, damages, and reasonable legal costs that arise from your breach of these Terms, inaccurate information, prohibited items, or damage you or your guests cause to a property, an elevator, or another customer’s goods.

19. Governing Law and Disputes

These Terms are governed by the laws of the State of Texas, where Rapid Vanlines LLC is based in Fort Worth, without regard to its conflict-of-law rules, and by applicable federal regulation for interstate household goods moves. Before starting any legal action, both parties agree to first attempt to resolve the dispute directly with a coordinator in good faith.

20. Changes to These Terms

We may update these Terms from time to time. The version in force when you request a quote or book a move is the version that applies to that move, and the effective date at the top of this page shows when it last changed. Continued use of the website after an update means you accept the updated Terms.

21. Severability and Assignment

If any part of these Terms is found unenforceable, the rest remains in effect. We may assign our rights and obligations under these Terms to an affiliate or successor carrier, and may use authorized agents to perform parts of your move.
